DEFINITIONS
The Client: The individual, company, or entity entering into an agreement with The Venue for the purpose of hosting an event.
The Venue: The Manor BR, including its employees, agents, and representatives.
Booking Fee: The non-refundable fee paid by The Client to secure the event date and venue hire. Minimum Spend: The minimum amount The Client is required to spend on the event, as agreed upon in the contract.
Force Majeure: Events beyond the control of either party, including but not limited to natural disasters, pandemics, strikes, or any other events deemed uncontrollable.
Event: The function or gathering organized by The Client at The Venue.
Booking Confirmation: Tentative bookings will be held for 7 days, after 7 days any tentative bookings will be removed from our system. Bookings are only considered confirmed once the signed agreement and deposit has been received by The Manor.
Booking Fee: A booking fee equal to the room hire for your event date is required to be paid to secure your booking. Booking fees are non-refundable.
FUNCTION TERMS, CONDITIONS & INFORMATION
PAYMENT SCHEDULE:
Booking Fee equal to the venue hire fee required at time of booking, this fee is non-refundable. Progress payment equal to 25% of your contracted minimum spend due 9 months prior to your event date. A second progress payment equal to 25% of your contracted minimum spend due 6 months prior to your event date. The remaining amount is to be paid 1 calendar month before your event date. Bank transfer is our preferred payment method.
A surcharge of 1.75% is applicable for Australian credit card transactions (please note international cards may attract a higher surcharge). Should you wish to pay via credit card let us know and we can send an invoice with a link to our online payment processor.
CANCELLATION: Should you need to cancel your event under 9 months from the scheduled date a charge of 25% of the minimum spend required for your event is applicable. If less than 6 months’ notice is given a charge of 50% of the minimum spend will be charged. Full expected event revenue is required within 3 months of your event and this amount is non-refundable.
POSTPONEMENT OF EVENT: In the event the Client chooses to or, the Client is forced to postpone the event due to reasons outside of the control of either parties (including those outlined in the Force Majeure Clause below), The Manor BR will work with the Client and endeavour to find a mutually agreed date to reschedule. Where the parties cannot mutually agree to an alternative date and for whatever reason, the event cannot be rescheduled, the Booking Fee and any additional payments due as per the payment schedule to the date of cancellation, made to The Manor BR remains non-refundable or transferable. The Manor BR agrees to hold in credit any amounts for 12 months from the original event date, for the Client to use towards a rescheduled event. Please note that unless agreed otherwise all postponed weddings will be liable to pay their original date pricing or the new date pricing, whichever is higher (i.e. a date that moves from a Saturday to a Sunday will still be liable for the original Saturday room hire fees as this date was the product originally purchased and likely could not be resold.)
Should the client wish to postpone the event when legally the event could have proceeded as planned but causes mere inconvenience such as not being able to dance or guests not being able to attend The Manor BR will allow up to one postponement fee free postponement, however this will be limited to an available Monday-Thursday date or an available winter date (June- Aug). Postponing to a Fri- Sun date in high season will incur an additional room hire fee to be paid.
FORCE MAJEURE: If The Manor BR is unable at any time to perform any of its obligations whether wholly or partly by reason of any Cause Beyond Its Control (including without limitation, pandemic, accident or ill health, inclement weather, strikes, lockouts, bushfires), The Manor Basket Range BR may give written notice to that effect to the Client, giving full particulars of such force majeure in which case the obligations of the Client under these Terms will, to the extent that they are affected by the force majeure, be suspended during the term of the force majeure. The Manor BR will not be liable for any loss or damage suffered by the Client as a result of any loss or interference caused by such force majeure events. This clause does not apply in circumstances where the “Cause Outside Its Control” still makes the Booking possible, but you cancel the Booking or vary the Booking because the alleged “Event Outside Our Control” causes mere inconvenience or changes the Booking in a manner that does not suit you. In this instance, any fees and charges that are deemed non-refundable remain so and The Manor BR is only obliged to use its reasonable endeavours to provide an alternative date. Where an alternative date can be provided, The Manor BR may credit any amount paid already, but this is done so at the sole discretion of The Manor BR.
2024 & BEYOND RATES: A 5% increase for all food and beverage pricing is applicable as of the 1st July each year and will be applied to all booked events. All other fees are as per the current event pack published at the time of your booking.
PUBLIC HOLIDAYS: A 15% surcharge is applicable for all room hire, food and beverage charges for events booked on public holidays. Please note that Sundays before a public holiday are treated as a Saturday when calculating costings and any other days before a public holiday are calculated as a Friday.
GUEST NUMBERS, MENU SELECTIONS & SEATING PLANS: Final menu selection and guest numbers are required 1 calendar month prior to your event. No refunds will be issued for any last-minute guest cancellations after this date. Additional guests may be able to be added up until 10 days prior with approval for our event managers. All dietary requirements must be advised 14 days before your event. All guest seating plans must be submitted by 7 days prior to your wedding.
LATE EXIT: An additional fee of $400 per hour or part thereof is applicable should you or your guests not exit the venue at the agreed event finish time. Any event extensions need to be arranged and agreed a minimum of 30 days prior to allow for accurate rostering.
FOOD & BEVERAGE: Only food and beverage provided by The Manor is permitted to be served at your event*. Special celebration cakes & professional dessert buffets/ ice cream carts or the like are the only exception. All outside sweets must come from a professional kitchen/organisation who operate with appropriate council approvals and food safety requirements.

*BYO spirits are permitted in conjunction with a beverage package. The beverage package must be running the full event time for BYO spirits to be allowed. A maximum of 1 x 700ml bottle per 8 guests is permitted. Please note additional fees to cover extra staffing apply if you would like our team to prepare cocktails with your spirits. Please discuss with your function manager.
MENUS: All menus are subject to change without notice and substitutions may be made due to seasonal availability of some items. A new menu is released on the 1st July each year that is available for the following 12 months. All couples are invited to an Experience The Manor Event usually within 3-6 months of their wedding date. Couples receive a discounted ticket price to attend. Additional tickets can be purchased.
ALLERGENS: Please note our kitchen does contain allergens which may be harmful to some guests including nuts, dairy and seafood. Every care will be taken to cater for guests with allergies or dietary requirements at the time of your event. Allergen and dietary information must be provided to the venue at least 1 month prior to your event.
ALCOHOL: We are required by law to observe the Responsible Service of Alcohol. Patrons who are intoxicated or expected to be under the influence of a prohibited substance will be refused alcohol. Should any person become abusive or act in a manner that threatens staff or others at the venue, they will be asked to leave. Persons under 18 will not be served alcohol. As per our license restrictions all alcohol service will end by 12am.
RESPONSIBLE SERVICE: To ensure that your guests receive the best experience, and our staff serve alcohol responsibly we require food to be served within thirty minutes of alcohol service.
DAMAGES/ THEFT: Financial responsibility for any damage or breakages to our equipment or property is the responsibility of the client.
Although we will take utmost care, The Manor do not accept responsibility for any personal belongings, equipment or gifts that are bought on to the property, this includes hire items from 3rd party companies that you engage. Please ensure that all your items are accounted for at the end of the night.
Due to the nature of the building, we ask that items are not affixed to the walls, stonework or fixings.
CLEANING: General cleaning is included in the cost of the event however, if substantial additional cleaning is required following your event the costs will be invoiced to the client. No confetti, table scatters, glitter or rice allowed. Only fresh or dried flowers or dissolvable confetti made from rice paper are allowable as ‘ceremony confetti’.
A $150 cleaning fee applies for the use of any indoor confetti cannons or the like or if a non-permitted ceremony confetti is used.
PROPERTY ACCESS: Access to our dressing rooms is available from 8am on the day of your event. An earlier access time may require an early access fee to be paid. Please check with your function manager to discuss. Access to your function room will also be available from 8am. All items must be removed from the dressing room 30 mins before the end of your event and function room at the conclusion of your event. The Manor BR will assist with this and store your items for collection the next day. Where possible The Manor BR will allow early access or later bump out times but this is entirely dependent on our event schedule and will need to be discussed with your function manager and early/late access will not be able to be confirmed until 7 days prior.
NOISE: The Manor reserves the right to adjust volume of music should it be deemed excessive or offensive by the venue. For the comfort and safety of other guests and neighbours. We ask that all guests departing do so in a quiet and considerate fashion. No music is permitted to be played outside after 7pm. After 9pm all external doors may need to be closed if your band or DJ is considered to be loud.
ACCOMMODATION CHECK IN / OUT: Check in time is from 2pm, this allows adequate time for our housekeeping staff to prepare your rooms prior to your arrival. Check out time is 10am. We can arrange earlier check in for 1-2 rooms in order for the wedding party to get ready in if required. Please discuss this with your event manager.
ACCOMMODATION AREA: For the comfort of our guests who are staying, the grassed and undercover area near accommodation is only available to be used during a function where all rooms of accommodation have been booked by the function. Likewise quiet after event gatherings are only permitted for inhouse guests after the event concludes if all the accommodation is booked by your guests.
ACCOMMODATION BOOKINGS: Rooms can be held on night of your wedding if required, until three months prior to the event. At the three months prior milestone, accommodation charges and guest details will be requested. On expiry of the hold on rooms any rooms not paid, will be released for sale to the general public. We are unable to hold or book rooms the nights preceding or trailing your event, until three months prior to the event and this is subject to availability.
EVENT TIMING: A maximum of 9 hours is permitted from ceremony start time until end of reception. Our bar service closed 30 mins prior to your event end time. All ceremonies are to take place 3pm or later unless pre-arranged with The Manor BR.
EXCLUSIVE USE: We offer exclusive used of the venue from 4pm onwards, the exception to this is the accommodation area. Accommodation rooms will be available to be booked by outside guests should you not require all the rooms for your accommodation guests. Should you not book all the accommodation rooms care must be taken to keep noise to a minimum within the accommodation area at the conclusion of your event and no after event gatherings are permitted.
LIGHTING AND DÉCOR INSTALLATION: All hanging items and /or electrical items that need to be installed using a ladder must be installed by a company/person qualified to do so who have their own public liability insurance. The festoon lighting on our outside Terrace is not to be removed unless approved by The Manor BR.
REHEARSALS: All couples are permitted to arrange a time for a rehearsal for their ceremony. This can usually be accommodated on a Tues- Thurs but is dependant on availability. We will try our best but cannot guarantee to have a function staff member present for rehearsals as it is dependent on availability. Should you feel that you need a staff member present to assist please advise this when booking and we will find a time when someone is available. Many celebrants do not need/expect a function staff member present.
VENUE SET UP & PACK DOWN: Our venue hire fee includes all tables, chairs, crockery, cutlery, glassware, white linen table clothes and napkins. You are welcome to hire in special furniture or equipment, please ensure this is advised to our event team 1 month prior so we are aware for planning and ordering purposes.
Our team will ensure your room is set with furniture and crockery/cutlery/glassware as per your requirements by 12pm on the day of your wedding ready for décor items. Our team will place out all simple décor items that you provide (candles, favours, place cards (must be sorted by table and in order ready to place), menus etc ) we do not include complex set up such as hanging items or lots tying bows. Please discuss your set up arrangements with our event team who can advise if it is more than the standard included.
If we are setting with linen, crockery, cutlery from an external supplier we will need these items delivered to us by the day before your wedding so we can ensure we can set up overnight.
At the conclusion of your event our team will gather all of your items together and place them on an outside table for collection by 10am the next day (unless otherwise arranged). We will place items together ready for you to pack back into boxes/ cars etc as required. Access inside the venue the next morning may not be available on all days.
Please note all items will need to be removed from our dressing rooms 30 mins prior to the end of your event so we can arrange cleaning.
PLANNING AND COMMUNICATION: Our preferred method of communication in the lead up to your wedding is via email to functions@themanorbr.com.au this will enable us to keep notes on file of our communications. We can also book in telephone calls, these will normally need to be booked around our event and meeting schedules, every week our schedule is different.
You are welcome to send through any questions as they arise and we are there to support and give guidance.
We book a full wedding planning meeting in around 3 months prior to your wedding, please allow 1.5 hours for the meeting. At this meeting we will discuss your room layout and set up, timeline for the day and your menu selections and accommodation requirements.
GROUP BREAKFAST: A group catered breakfast can booked the day following your event. A minimum of 20 adults are required for a group breakfast booking. We do not allow a group breakfast to be booked on public holidays. The breakfast will be served at 10am upon check out from the accommodation (all guests must check out of accommodation before they come to breakfast).
DISPUTE RESOLUTION: In the event of a dispute arising out of or in connection with this agreement, the parties agree to first attempt to resolve the dispute through good faith negotiations. If the dispute cannot be resolved through negotiations within 30 days, the parties will submit the dispute to mediation before resorting to any other dispute resolution procedure.
GOVERNING LAW AND JURISDICTION: This agreement is governed by the laws of South Australia, Australia. Any legal actions or proceedings arising out of this agreement shall be brought in the courts of South Australia, and the parties irrevocably submit to the jurisdiction of such courts.
LIABILITY LIMITATION: The Manor BR's liability for any loss or damage, whether direct or indirect, arising from the event or this agreement, is limited to the total amount paid by the Client under this agreement. The Manor BR is not liable for any consequential or incidental damages, including but not limited to loss of profit or reputation.
CLIENT RESPONSIBILITIES: The Client is responsible for ensuring that all attendees comply with the venue's policies and procedures. The Client must provide accurate and complete information regarding the event, including but not limited to guest numbers, dietary requirements, and event timings.
INSURANCE REQUIREMENTS: If The Client is installing own equipment, The Client must obtain and maintain, at their own expense, public liability insurance for the event with a minimum coverage of $10,000,000. Proof of insurance must be provided to The Manor BR upon request.
INDEMNITY: The Client agrees to indemnify and hold harmless The Manor BR, its employees, and agents from and against any and all claims, liabilities, damages, and expenses arising out of or in connection with the Client's use of the venue, except to the extent caused by the gross negligence or wilful misconduct of The Manor BR.
COMPLIANCE WITH LAWS: The Client agrees to comply with all applicable laws, regulations, and ordinances in relation to the event, including but not limited to health and safety regulations, noise restrictions, and licensing requirements.
PHOTOGRAPHY AND MEDIA RELEASE: The Client consents to The Manor BR using photographs or videos taken during the event for marketing and promotional purposes, unless the Client expressly requests otherwise in writing prior to the event.
